Redesigned Beaucoup Data’s onboarding and delivery operations to improve structure, scalability, and visibility—using existing tools (Asana & Slack) without adding complexity.

Context

Beaucoup Data is a growing agency building algorithmic solutions to accelerate the adoption of AI and data.

As activity increased, operations evolved organically.
Each new project required manual setup, coordination, and alignment across the team.
The team was delivering—but without a system designed to support it.

Delivery lacked consistency and was difficult to monitor. Timelines were not always clearly structured or followed.

There was no scalable foundation to support growth.
Product work remained unstructured, and processes were not documented or reusable.
As a result, execution relied more on people than on systems.

Restructuring operations
Work in Asana was reorganised into domain-based teams—Admin, Client, Training, and Product.
This clarified ownership across workflows and established a structure that could scale with the team.
Templates & standardisation
Reusable Asana project templates were introduced to reduce repetitive setup and standardise delivery.
Each new project followed a consistent structure, making execution faster and more predictable.
Product backlog & sprints
A structured product backlog and 2-week sprint cycles were implemented.
This brought clarity to priorities and shifted product work from reactive tasks to a more organised workflow.
Client health & risk tracking
Customer success was embedded directly into project delivery.
Project health tracking and risk monitoring made it possible to anticipate issues rather than react to them.
Playbooks & SOPs
Playbooks in Google Workspace made operations repeatable and scalable.
Core workflows were documented to reduce reliance on individuals and support team growth.
Onboarding experience design
The onboarding experience was structured through kickoff templates, shared materials, and internal documentation.
This created clearer alignment from the start of each project for both the team and clients.

Outcomes

After implementation, improvements emerged.
The onboarding evolved from a static welcome pack to a Notion hub, while offer templates were updated with length-based timelines, fast-track pricing, and client-delay penalties to better anticipate project timelines.
